Privacy Policy
This policy explains what KeepVahan collects, why, where it is kept, and how to get rid of it. It covers the KeepVahan Android app and this website.
01 Who we are
KeepVahan is an Android application published by Svyram ("we", "us"). We are the data controller for the information described in this policy. You can reach us at venkypaithireddy@gmail.com.
This policy applies to the KeepVahan app (package com.svyram.keepvahan) and to the pages served from keepvahan.web.app.
02 Information you give us
You only enter what the app needs in order to remind you about expiries.
| What | Details | Required? |
|---|---|---|
| Vehicle records | Registration (plate) number, an optional vehicle name, and an optional driver or owner name. | Plate required |
| Document records | Document title, an optional document type (insurance, fitness, permit, PUC, RC, other) and the expiry date. | Expiry date required |
| Document files | Photographs or PDFs of certificates that you choose to attach. These are stored in private file storage. | Optional |
| Reminder preferences | Which days before expiry you want to be reminded, and whether reminder alerts are switched on. | Optional |
| Mobile number | If you switch on SMS alerts (an Ad-Free feature): the mobile number you enter, verified with a one-time code and stored so we can text you before each document expiry. You can change or remove it any time from the Alerts tab. | Optional |
| Account details | If you sign in with Google: your name, email address, profile picture and Google account identifier, received from Google. We never see your Google password. | Optional |
About attached certificates. A photograph of a vehicle document may itself contain personal information — a name, address, date of birth or identity number printed on the certificate. That information is inside a file you chose to upload. It is stored in a private storage bucket that only your signed-in account can read, and it is deleted with your account.
03 Information collected automatically
We keep this to the minimum needed to make the app work. We do not run analytics, behavioural tracking or crash-reporting SDKs in KeepVahan.
- Device identifier. The first time you add a vehicle, the app generates a random identifier and stores it on your device. It tags the records you create so that if you later sign in, your existing records can be attached to your account. It is a random value — it is not your Android advertising ID, IMEI, phone number or any hardware serial.
- Sync timestamps. When you are signed in, records carry a creation and last-updated time so your devices can be reconciled.
- Subscription status. Whether an active ad-free subscription is attached to your account, so the app knows whether to show ads.
04 What we do not collect
- We do not collect your contacts, call logs, SMS, calendar or photo library.
- We do not collect your precise location. The app requests no location permission.
- We do not read your certificates with any automated OCR service. Any scanning happens on your device.
- We do not sell, rent or trade personal information to anyone.
- We do not use your data to train machine-learning models.
05 How we use your information
- To provide the service — storing your vehicles and documents and showing what expires next.
- To send reminders — scheduling an alert on your device before each expiry date, and, if you switch on SMS alerts, texting the mobile number you verified.
- To sync across your devices — if, and only if, you sign in.
- To honour your purchases — determining whether to hide advertising.
- To answer you — responding to a support or privacy request you send us.
Where the GDPR or a similar law applies, we rely on performance of a contract for the items above that are needed to run the app, your consent for optional things such as notifications and attaching certificates, and legitimate interests in keeping the service secure and free of abuse.
06 Who else processes it
We use a small number of service providers. They act on our instructions and are not permitted to use your information for their own purposes.
| Provider | What it handles | Why |
|---|---|---|
| Supabase | Account records, vehicle and document records, attached certificate files. | Database, authentication and file storage. |
| Google Sign-In | Your name, email address, profile picture and account identifier. | Only if you choose to sign in. |
| Google AdMob | Advertising identifier and device information, for serving ads to users on the free plan. | Advertising, on the free plan only. |
| Google Play Billing | Your purchase and subscription records. | Taking payment for the ad-free plan. |
| Twilio | Your verified mobile number and the text of the reminder, only if you switch on SMS alerts. | Delivering SMS alerts. |
| Firebase Hosting | Standard web-server logs for this website. | Serving this website. |
07 Advertising
The free plan shows advertising supplied by Google AdMob. To serve ads, Google may collect and process your device's advertising identifier, IP address and information about your device and how you interact with an ad. We do not receive your personal information from Google as part of this — we only receive aggregate revenue reporting.
You can reset or delete your advertising identifier, or opt out of personalised advertising, in your Android settings under Privacy → Ads. Buying the ad-free plan stops advertising in the app entirely.
08 Subscriptions and payments
Ad-free subscriptions are sold and billed by Google Play. We never see or store your card details, billing address or full payment history. Google tells us whether an active subscription exists so the app can hide ads. Google's handling of your payment information is governed by Google's own privacy policy.
Cancelling is done through Google Play, not through us. See the terms & conditions for the full billing terms.
09 Reminders and notifications
Expiry reminders are scheduled locally on your device using Android's notification system. The reminder content is generated on the device from records you already have. We do not operate a push-notification server and we do not send you push messages from our own servers.
SMS alerts are an optional Ad-Free feature. If you switch them on, we store the mobile number you enter — after verifying it with a one-time code — on our server and text you before each expiry through Twilio. We only ever text that number, we never send marketing messages, and you can change or remove the number and switch SMS alerts off at any time from the Alerts tab.
You can turn reminders off at any time from your Android system settings for KeepVahan, or inside the app. Turning them off does not delete your records.
10 Where your information is stored
- On your device. Your vehicles, documents and preferences are kept in a local database inside the app's private storage on your phone.
- In our cloud database. If you are signed in, your records are stored in a PostgreSQL database hosted by Supabase on Amazon Web Services in the ap-northeast-1 (Tokyo, Japan) region. Attached certificate files are stored in the same region.
This means that if you are outside Japan — for example in India — your information is transferred to and stored in Japan. We take this step because it is where our database provider hosts the region the service runs in. Where local law requires safeguards for a cross-border transfer, we rely on our provider's contractual data-protection commitments.
11 How long we keep it
We keep your records for as long as your account exists, because the whole point of the app is to remember dates on your behalf. Specifically:
- Records on your device stay until you delete them in the app or uninstall it.
- Records in our cloud database stay until you delete your account.
- When you delete your account, we delete your vehicles, documents, attached files, reminder preferences and account record.
- We may retain a minimal record of the deletion itself if we are required to for legal or accounting reasons.
12 Keeping it secure
- All traffic between the app and our servers uses HTTPS.
- Our database uses row-level security: a signed-in user can only read and write their own rows. This is enforced by the database, not just by the app.
- Attached certificate files live in a private bucket; access is restricted to the account that owns the folder.
- Your sign-in session is stored on the device using the platform's secure storage.
No system is perfect. If we ever become aware of a breach affecting your personal information, we will notify you and the relevant authority as required by law.
13 Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct information that is wrong — most of it you can edit directly in the app.
- Delete your information, including by deleting your account.
- Port your information to another service.
- Object to or restrict certain processing.
- Withdraw consent for anything you previously agreed to.
- Complain to your local data-protection authority.
To exercise any of these, email venkypaithireddy@gmail.com. We respond within 30 days. You will not be charged, and we will not treat you differently for asking.
14 Deleting your account and data
Deleting your account removes, permanently:
- Your account record and your sign-in identity.
- Every vehicle you added.
- Every document and every attached certificate file.
- Your reminder preferences.
Data stored only on your phone is removed when you delete it in the app or uninstall KeepVahan. If you would rather not sign in on the website, you can email venkypaithireddy@gmail.com from the address associated with your account and we will complete the deletion within 7 days.
15 Children
KeepVahan is meant for vehicle owners and drivers, and is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact us and we will delete it.
16 Changes to this policy
If we change this policy we will update the date at the top of this page, and for any material change we will make it visible in the app. Continuing to use KeepVahan after a change means you accept the updated policy.

Questions, requests or complaints about privacy can go to our grievance officer:
